Privacy Policy
Last updated: 3 November 2026
ClassLoom is a product of NexionBytes LLP ("we", "us"). This policy explains how we handle personal data when you visit classloom.in, contact us, or use the ClassLoom web admin and parent and teacher apps (the "Service"). It's written with India's Digital Personal Data Protection Act, 2023 in mind.
1. Our role
Our website and business enquiries: we decide how this data is used.
School data in the Service: the school decides what data is collected and why, and we process it on the school's behalf. If you're a parent, guardian or staff member, your school is your first contact for questions about this data, and its own privacy notice also applies.
2. What we collect
On this website:
- What you choose to tell us when you email us, such as your name, school, role and email address.
- Basic technical logs kept by our hosting provider, such as IP address, browser type and pages requested.
In the Service, as set up by each school:
- Parents and guardians: name, phone number, relationship to the child, and messages and leave requests.
- Students: name, class, roll number, photo and documents where the school provides them, attendance, homework, marks, report cards, leave and fee records.
- Staff: name, contact details, role, subject and class assignments, attendance and leave. If a school turns on phone check-in, this may include check-in details from the phone.
- Payments: fee amounts, payment status and receipts. Card and bank details are entered with the school's payment gateway, and we don't store them.
- Technical data: device and app details, push notification tokens, sign-in records and audit logs.
3. How we use data
- To provide the Service, including attendance alerts, fee reminders, notices and messages.
- To sign people in and to show them only what their role allows.
- To support schools, fix problems and improve reliability.
- To keep the Service secure and to detect misuse.
- To reply to your enquiry.
- To meet our legal obligations.
We process school data based on the school's instructions, and the school is responsible for having a valid legal basis, including any consent required, for sharing it with us.
4. Children's data
Students don't have accounts on ClassLoom. Their information is added by the school and seen by the school's authorised staff and the student's linked parents or guardians. Schools are responsible for obtaining verifiable parental consent where the law requires it.
We use children's data only to provide the Service to the school. We don't sell it, use it for advertising, or track or profile children for marketing purposes.
5. What we don't do
- We don't sell personal data.
- We don't show advertising in the Service.
- We don't share one school's data with another school.
6. Who we share data with
We share data only as needed to run the Service, and with:
- Service providers that work for us, such as hosting, database, notification, SMS and WhatsApp providers, who may use the data only to provide their service.
- Payment gateways chosen by the school, when a parent pays online.
- The school, and the people it has authorised within the Service.
- Authorities, where the law requires it.
- A successor business, if our business is reorganised or sold, with the same protections continuing to apply.
7. Cookies and third-party content
This website doesn't set advertising or analytics cookies. It loads its fonts from Google Fonts, so your browser shares your IP address with Google when you visit. If we add analytics later, we'll update this policy first.
8. Where data is stored
We aim to host school data on servers in India. Some service providers may process limited data in other countries, and where they do, we'll follow the rules that apply to such transfers under Indian law.
9. How long we keep data
We keep school data for as long as the school uses the Service and as the school instructs. When a school leaves, it can request an export, and we then delete its data within a reasonable period, unless the law requires us to keep it. We keep business enquiries for as long as needed to respond and follow up, and for any period the law requires.
10. Security
We use measures such as separating each school's data, role-based access and encrypted connections. No system is perfectly secure. If a breach affects personal data, we'll notify the school concerned and the authorities, and take the other steps the law requires.
11. Your rights
Subject to the law, you can ask to access a summary of your personal data, correct or update it, or have it erased. You can also withdraw consent where processing relies on it, nominate someone to act for you, and raise a grievance.
For school data, please contact your school first, as it manages these records. For anything else, or if you can't resolve it with your school, email us. If we don't resolve your grievance, you may complain to the Data Protection Board of India.
12. Changes to this policy
We may update this policy from time to time. We'll post the new version here with a new date, and tell schools about significant changes.
13. Contact and grievances
For privacy questions, requests or grievances, email hello@classloom.in with "Privacy" in the subject line.
